Sending Invoices

Overview

Email a PDF invoice to a customer with one click — or share a payment link via WhatsApp, SMS, or copy-paste. The invoice tracks its open/view/pay status so you know if the customer ghosted you.

Step-by-Step Guide

Save the Invoice

Create the invoice as normal. Use Save & Send (instead of just Save) to skip a click.

Choose Channel

Email is default and pulls the customer's email from their record. Or pick WhatsApp / SMS / Copy link.

Custom Message (optional)

Override the default template for this invoice. Useful for thank-you notes on first invoices or "as discussed" context.

Send

The invoice PDF is attached to the email; the WhatsApp/SMS variant sends a short link to the hosted invoice page (mobile-friendly).

Track Status

The invoice list shows Sent / Viewed / Paid for each invoice. Click a status icon to see the timestamp history.

Tips & Best Practices

Tip: Hosted invoice pages let the customer pay online (M-Pesa STK Push, card) without you doing anything — saves you a follow-up.
Tip: If an invoice has been Viewed but not Paid for 3+ days, the system can auto-nudge — see Payment Reminders.
