Overview

Send formal quotes before committing to invoices. Convert accepted quotes into invoices with one click — no re-entry. Quotes have their own numbering, expiry, and status tracking.

Step-by-Step Guide

Create Quote

Invoices → Quotations → New Quote. Same line-item flow as an invoice.

Set Expiry

Default 14 days; adjust per quote. Expired quotes auto-mark as Lapsed and don't clutter the active list.

Send

Email / WhatsApp / Copy link, same as invoices. The hosted quote page has an Accept button for the customer.

Customer Accepts

Customer hits Accept on the hosted page (or you mark it accepted manually after a verbal yes). Status flips to Accepted.

Convert to Invoice

On the accepted quote, click Convert to Invoice. All line items + tax + customer carry forward. Quote stays linked for traceability.

Tips & Best Practices

Tip: Set a quote-validity message in the footer: "Pricing valid until {expiry_date}, subject to stock availability at conversion." Prevents disputes when costs rise between quote and invoice.
Tip: Conversion rate (quotes accepted / quotes sent) is in Reports → Sales Pipeline — useful for monitoring sales-team performance.
